Use Gmail to send and receive email

You can use Google's Gmail service to send and receive mail via our servers. This is a very fast and easy way to view mail but requires a few steps to set up.

Why do this?

  • You can send mail using the address you have with us (yourname@yourdomain.com rather than yourname@gmail.com).
  • You will automatically receive all mail into Gmail, lightening the resource usage of your hosting account (more resources for other things).
  • You can store around 15GB of mail.
  • It's a very fast webmail system
  • It's accessible from any browser anywhere in the world.
  • Less chance of your mail being marked as spam when sent via Gmail.
  • In case we have to restore a backup of your site, it won't affect your email.
  • You can use any iOS or Android app that supports Gmail for a nice mobile experience.

Instructions


Sign up for Gmail

The first step is to sign up for a Gmail account if you haven't already.

Note: If your Gmail account is personal and your email with us is business, this will mix them together. You have an option to easily label all your business email as such, but if you want it separated you can sign up for a second free Gmail account.

Set up sending mail

  • Sign in to Gmail.
  • Click the gear icon and then click Settings and select the Accounts and Import tab.
  • Under "Send mail as", click Add another email address.
  • In the 'Email address' field, enter your name and alternate email address.
  • Uncheck "Treat as an alias" and continue to the next screen.
  • Enter the following info:
    • SMTP Server: mail.yourdomain.com
    • Your full email address with us (ie. yourname@yourdomain.com)
    • Your password
    • Port: 465
    • Check "Secured connection using TLS"
  • Click the Gmail confirmation link sent to your email and confirm it.

Sending is complete, but now you need to be able to receive mail here too. That's the next step.

Set up receiving mail

This will configure Gmail to connect to our mail server via POP and download your email.

  • In your Gmail account, click the gear icon and then click Settings.
  • Click the "Accounts and Import" tab.
  • Click "Add a mail account" under "Check mail from other accounts".
  • Select "Import emails from my other account (POP3)" and continue.
  • Enter the following info:
    • Username is your full email address with us (ie. yourname@yourdomain.com)
    • Your password
    • POP server is "mail.yourdomain.com"
    • Port: 995
    • Optional extras:
      • "Leave a copy of retrieved message on the server." means that Gmail will move all your mail from us to Gmail. If you would not like them to do this, check the box. (I recommend leaving it unchecked because it saves space on our end and uses the free Gmail storage.)
      • The "Label incoming messages" option is good if you want to separate accounts from each other.
  • Click "Add account" and you're done!
